How to Accept a New Member

Step 1
You will receive an email from Membershipworks

Step 2

Go to your Membershipworks account and sign in

Step 3

In the menu on the left, click Folders

Step 4

Click on the Pending
Members Folder

Step 5

The menu shows you are in the Pending Members Folder. Click in the box with the new member’s name: i.e. “Al chiszar”

Step 6

Click on Profile

Step 7

Fix things you see that are wrong. Example: make the “c” a capital “C”; put dashes in phone number; click Save at the bottom.

Step 8

Check to see that the “Release and Hold Harmless Agreement is done. It will be “red” if it has been done. If not acknowledged, you need to send email to new member asking them to complete this step. Do not approve until this is done.

Step 9

  1. Click the blue link next to Upload OTOW ID Card

  2. Click the Open/Download link in the popup window

Step 10

Check the card:
Expiration Date &
Community: If Weybourne/Indigo must be a Gateway Pass

Note: Sometimes members send a photo of themselves instead of card. Email them to ask for photo of card. Do not approve until this is done. Sometimes I just ask them to send me a text of their card and I upload it for them. It’s quicker!!

Step 11

Click “Add Label”

Step 12

Click “2025 New Member”

or label for whatever year we are in!

Step 13

  1. Click “Add Label” again

  2. Scroll down to the bottom & click the “Community” the member lives in

Step 14

Check your labels to make sure correct. If not, re-do them by clicking on them and re-selecting.

Step 15

Click “Membership Billing”

Step 16

  1. Make note of “Billing Method”

  2. Click “Update”

Click the “Pending” box

Step 18

Click “Full Member”

Step 19

  1. Manual Billing is checked for “One Time Payments.” Leave it that way.

  2. Check “Send new member welcome email”

  3. OR

  4. Automatic Renewal is checked for Auto Payments.

  5. IF this was “Automatic Renewal, there would be a box “Migrate Credit Card Information” you need to check that box.

  6. Click “Save”

IMPORTANT:

NOTE: The first time you get an “Automatic Renewal”, call me and I will walk you through it. The card must be migrated in order for it to be saved for the automatic renewal.

Step 20

  1. Note: Member is still in Pending Members Folder

  2. Click Copy/Move

Step 21

Click “Members”

Step 22

UNCLICK “Keep a copy in this folder” and click OK

If there is no one else in the Pending Members Folder, you are done. If you received more than one email and there is still someone in the Pending Members Folder, repeat the above steps until all are accepted. If you had to ask the member for additional information, just leave them in the Pending Members Folder until they return the information to you.
