Instructions for Activities Committee to submit Activity/Gathering

Step One

Go to the ASC Website and Sign In

Step Two

Using the main menu, choose Events>Calendar

Step Three

At the left top of calendar, click “Add New Event”

Step Four

This screen will pop up. Complete the Event Title, Start Date & Time, End Date & Time, Place (Name of Venue), and Event Address. If you put an image in the image box, it should be no more than 480 pixels wide. If your image is larger than that, send it by email and we will resize it to the proper width.

Step Five

Scroll down to this box. Delete “Click here to edit the description and details of your event”. Put in the description of your activity/gathering. Below your description, copy & paste the following:

“If you discover you need to cancel your registration, please [Click Here] to do so.  Thank you! “

When done, click “Save & Continue”

Hint: You will be copying & pasting this cancellation clause in all of your calendar entries. You might want to save it in your word program for easier access. You must copy & paste the clause. Re-typing it will not bring the [Click Here] link to the description.

Step Six-A

The “Ticketing” screen will open up for you.

In the box “Ticket Settings”, in “Overall Event Capacity”, if there is no capacity leave this blank. If there is a capacity, put the number in the box.

Leave the second box blank.

Click the box below where it says: + Add Event Ticket

Step Six-B

Enter the ticket name: Member Registration

If ASC is collecting money for the activity, put the TOTAL cost in Ticket Price (This is the cost of the activity, the tax to be collected by the vendor and the ASC handling charge of 2.9% +.30 cents.

Leave Quantity Available blank

Put a “1” in Limit

Leave the 1 in count

Tax Rate= blank

Click SAVE

Step Six-C

If Guests are allowed, click +Add Event Ticket and create a ticket for Guest Registration.

If you have a special request, create another ticket: “I can bring my dominoes set”

When done, click “Continue to Registration”

Step Seven

The Registration screen will open.

Registration start: blank if start immediately or enter date & time of future state date.

Registration end: enter date and time registration will end.

Click both bullet points below the registration settings.

Click “Continue to Dashboard”

Step Eight-A

Now you are on the Dashboard page.

This is the page you will use later to see who has registered for your activity and to check them in at your activity.

Click the “Notes” tab in the gray menu at the top

Step Nine-A

Click the box +Add Note

Step Nine-B

In the Title Box enter:
Activity Contacts

In the Note Box enter:
Coordinator: your name

Sponsor: sponsor’s name

You can put phone numbers and emails in here if you want.

When done click Save

Step Ten

Click on the Advanced tab at the top.

If you want the sponsor to get an email every time someone registers, put the sponsor’s email address in the box “Event registration notification email addresses. If you want to get the email, put yours in there. Otherwise leave it blank.

Event registration button text:
Leave as Register!

Leave the Redirect box blank

Leave the Allow box the way it is.

DO NOT check Allow offline payment.

At the bottom of the box click Save and scroll down to the next box

Step Eleven

In the Confirmation Email box, if there is no charge being collected by ASC for your activity, you need to delete the following 3 lines: [itemtable], Tax:[tax], and Total:[total].

If there is a charge that ASC is collecting for your activity when the member registers, leave those lines in there.

If there is a charge that members will paying at the venue, you will remove those 3 items.

Click Save and you are done for now. You do nothing with the Tax Rules or Payment Setup boxes.
